Terms and conditions 

Tentative bookings: All tentative bookings will be held for a period of 7 days. After this time the date will not be held. Extensions will be granted when required. 

Confirmation of booking: To confirm your booking we require a deposit of 50%. Payment plan options are available. A confirmation receipt will be issued confirming the date & agreed price. By paying a deposit for an event, the client agrees that once paid, the deposit is non refundable.

Final Payment: The balance of the account is payable 14 days prior to the event and can be paid in the following ways: cash, bank cheque, direct deposit or Pay Pal if your account has not been finalized with in the due time frame wedding hire by the bay reserves the right provide decorations/style your wedding.

Cancellations: If cancellation occurs inside of the 14 days from the intended event date, full balance should have been paid by this time and will not be refunded. 

Weather: In the event of extreme weather conditions preventing you from holding your ceremony at your requested outdoor site, money will not be refunded. Flowers@109 will do their best to set up and coordinate your ceremony at an alternate location of your choice. In an emergency like this, a minimum of 5 hours notice would be needed to accommodate your change of plans. In the unfortunate event that this may take place, the client understands the risks of choosing to hold they're wedding ceremony in an outdoor location and will not hold Flowers@109 responsible for anything that may not go to plan. Flowers@109 reserves the right to refuse the rolling out of aisle carpets in rain or muddy conditions. In the event of extreme winds, Flowers@109 has the right to refuse the use of market umbrellas, flags,Arbour/canopies if we deem it unsafe for our equipment or the general public. 

When temperatures are so high as to present a serious risk, Flowers@109 reserve the right to setup outdoors and will set up in an alternative air-conditioned location. (your back up plan) back up plan needs to be in place at least 24 hours prior to the wedding date, Flowers@109 holds no responsibility if no back up plan has been provided.

Flowers @ 109 will not set up equipment if we deem it unsafe and run the risk for any guest or bridal party where the heat may cause heat stress this includes any out door area 35 degrees and over.

Loss/Damages: All items remain the property of  Flowers@109 and clients will be charged for loss or damage of any items. The payment for loss or damage of any items must be finalised within one month of the event date.  

Changes and further requirements: Definite numbers, requirements and colour schemes are to be finalised at least 4 weeks prior to the event date. Further requests and/or increases in numbers within 4 weeks of event date are not always possible however will be accommodated when viable. Reductions in guest's numbers and/or requirements within 4 weeks of event date will not be refunded. 

Additions: Flowers@109 does not allow other parties to attach flowers or decorations to our equipment, If you wish to decorate or DIY hire please use alternative supplier. We are here to help you achieve your dream wedding from start to finish we want you to be 100% happy suiting your style and budget It can become a tacky mess when using a few suppliers with different views quite often it's not to a standard we would like to put our name on. Not only that our equipment gets damaged and not up to standard for future brides. Please be mindful If on the day these requirements have not been met  Flowers@109 has the right to refuse the decorations that not been provided by us.

Delivery: A Delivery and set up fee will apply depending on you're wedding location and will be clearly stated in your quote. We will not set up equipment any further than 10 metres proximity from the entrance car park their must be easy access to the wedding site not a cliff with stairs or extra labour fees apply. Flowers@109 reserves the right to refuse set up if these conditions are not met without prior notification.

 Permits: The client is responsible for obtaining any ceremony or event permits that may be required. A copy of these permits must be supplied to Flowers@109 no later than 14 days prior to your event. Flowers@109  will not accept responsibility for clients not adhering to permit regulations.    

Clean up: Please read your permit regulations carefully. The use of paper confetti, rice or any other form of compact streamer is usually not permitted. Although Flowers@109 offer  a clean up service, we cannot be held responsible for any small paper confetti particles left behind. It is up to the client to inform their guests on confetti regulations. ?Will not be held responsible for cleaning up empty drink bottles and cans that have been offered to your guests attending your ceremony. 

Advertising: In accepting our quote, the client is agreeing to the possibility of photos being taken of they're wedding for use in our advertising 

Liability: In no event shall Flowers@109  be liable for any injury, loss, claim, damage, or any special, exemplary punitive, incidental or consequential damages of any kind, whether based in contract, tort or otherwise, which arises out of or is in any way connected with use of services or equipment supplied by weddings by the bay. Clients accept these terms and conditions upon payment of deposit.
